In the Florida property market, speed isn’t just a luxury—it’s a closing tool. Whether a homeowner is shopping for their renewal or a Realtor is working against a tight closing deadline, every hour a file sits in ‘Underwriting Review’ is an hour the customer’s need is not being met.

Here are three “hacks” to keep your submissions out of the pending queue.

1. The “Age of System” Mismatch

If Patriot’s data vendor (“pre-fill”) says a roof is over 20 years old, but your application says it’s brand new, the system triggers a manual review to find out who’s right.

  • The Hack: Don’t wait for the underwriter to ask for proof. If you know the roof, plumbing, electric, or HVAC was updated recently but public records haven’t caught up, upload the permit or the 4-point inspection right after you hit “Submit”.
  • Why it works: You’re answering the underwriter’s first question before they even ask it. Proactive documentation turns a 48-hour delay into an immediate “Approved.”

2. The “Silent” Prior Loss

Florida has seen its fair share of storm activity, and a prior loss isn’t always a deal-breaker. However, an unexplained loss is a red flag. If an underwriter sees a $20,000 wind claim from three years ago with no context, they have to assume the damage might still be unaddressed.

  • The Hack: Use the “Remarks” or “Comments” section to tell the story immediately. Did the homeowner replace the entire roof after the claim? Was the damage limited to a detached fence or a screen enclosure?
  • Pro Tip: Add a quick note, such as: “2023 Wind Claim: Shingle damage from Hurricane Idalia. Full roof replacement completed Jan 2024; see attached paid invoice and permit.” That one sentence saves you avoidable “Underwriting Inquiry” emails.

3. The Satellite Surprise (Coverage B)

We’ve all been there: the quote looks great, but then the underwriter pulls a satellite image and spots a detached guest house or a massive pole barn that wasn’t on the application. Now, the Coverage B limits are wrong, the premium jumps, and you have to go back to the client with bad news.

  • The Hack: Do a 30-second “Google Earth” audit before you submit. If you see a secondary structure, account for it in the initial app.
  • The Result: It keeps the quote accurate from the start and prevents those “rate shocks” that happen right when the client is ready to sign.
